A Conference on Bible Prophecy
We would like to suggest you appoint a conference
coordinator who we can work with regarding details
of the conference. We would prefer this person
be a staff member but if not, someone who has
access to you or your senior staff in the event
a decision needs to be made.
The role of the conference coordinator will be:
1) To correspond with Dr. Frazier regarding
every facet of the planning and implementation
of the conference.
2) To enlist volunteer support to:
a) Assist at registration tables on day on
conference from 7:30 AM - 9 AM
b) Assist with product sales with eight (8)
volunteers (Saturday and Sunday)
c) Usher assistance
d) Greeters (number to be determined by local
church)
e) Hospitality room for VIP's and speakers
providing coffee/juice/water and snacks
3) To coordinate and compile registration information
into database.
4) To coordinate with church maintenance staff
regarding product table set-up, back drop hanging
and all signs using pipe and draping for banners.
5) To enlist and assign volunteers to work
registration tables four (4) weeks prior to
conference.
6) To coordinate with sound and media staff
regarding lights, audio, PowerPoint presentation,
etc..
7) To coordinate with hospitality and kitchen
staff regarding lunch and breaks on Saturday.
REGISTRATION:
Registration should begin four (4) Sundays prior
to the conference and continue each and every
time services are held until the conference begins
emphasizing the need to register early as we anticipate
selling out. Depending on size of area, a pre-registration
table manned with two (2) volunteers at each table
should be set up near each major entrance/exit
to the main worship facility.
Sign should read: "LEFT BEHIND CONFERENCE"
PRE-REGISTRATION
A sixty (60) second invitation video should be
shown at some point either before or after each
service for four (4) weeks prior to conference
encouraging registration in the lobby areas. (Video
will be provided by DMI.)
Meal ticket purchase should be made at time of
registration.
Conference planners will provide registration
forms for church printing. (DMI)
Meal tickets will be provided by church. (Office
supply)
Two different color tickets will be necessary
(one for conference entrance and one for the
meal ticket)
ADVERTISING:
Advertising means should be coordinated with
pastoral staff to determine budget. Free advertising
should consist of Public service cable channel;
posters in Christian bookstores, radio talk program
and interviews.
1) Mail registration forms to all area churches
encouraging pastors to announce the conference.
2) Make registration form available for download
from church web site.
3) Schedule interviews with local Christian
radio for Wednesday, Thursday and Friday prior
to conference. (Telephone)
4) Posters around church (Kinko's will print
these from disc supplied by DMI.)
LUNCH AND BREAKS:
MEAL PLAN:
We suggest that the church decide as to how they
want to offer lunch. We recommend coordinating
a box lunch with Chick-fil-A consisting of a chicken
sandwich, chips, and bottle of water or with Jason's
Deli. We would suggest trying to keep the cost
at approximately $5-6 per person or less. Registrants
should be advised the meal will be on a first
come basis and cut off will be Friday prior to
the conference.
Eating areas as well as lunch distribution should
be coordinated with hospitality staff and volunteers
enlisted as needed. Time is the real issue and
proper flow will be very important to a smooth
luncheon. Overflow areas should be designated
and some will eat outdoors weather permitting.
One hour has been allotted for lunch.
BREAKS:
Should the church desire to have coffee available
in the morning prior to conference and during
the morning and afternoon break, volunteers must
be enlisted and areas designated by conference
coordinator. Two (2) twenty-minute breaks will
occur - one mid morning and one mid afternoon.
TRANSPORTATION ASSISTANCE:
Pick up for speakers should be arranged to/from
airport and to/from hotel for speaking times or
rental cars if desired.
INVITATION:
Enlist counselors and have them trained
and ready to deal with those making decisions.
I would encourage you to have a special retraining
session so that those who have perhaps not worked
with anyone in a while might be encouraged and
reminded of the procedure. I do not want to suggest
that you do not have trained counselors but in
almost every church the pastor says afterward
that they just were not ready for so many decisions
all at once. I will be doing a crusade style invitation
where they will come and stand in front of me.
I will speak to them for a few moments, pray with
them and then send them to the counseling area.
Please have packets of literature ready in chairs
for each one. I would urge you to consider having
a free gift Bible for each profession of faith
to help them as well as a Survival Kit or some
other material to get them started right. In addition
why not have the counselors go ahead and set up
their baptism that very evening prior to the service!
We have water, why not?
A FINAL WORD:
Please do not promote the fact that Dr. LaHaye
will be speaking on Sunday. This will hurt the
conference attendance if people think they can
hear him on Sunday. We will promote this during
the conference on Saturday.
